Set It Up Before You Leave
- Pick one bill-splitting app (Splitwise, Venmo groups, etc.) and add everyone before the trip starts
- Agree on a shared kitty for group expenses (groceries, gas, shared activities) funded upfront by each person
- Decide big-ticket items (villa, rental car) get split evenly unless someone opts out of an activity
During the Trip
Log expenses in the app the moment they happen — not at the end of the day from memory. Whoever pays for something enters it immediately, so nobody is reconstructing a week of receipts on the last night.
Handle the Awkward Stuff Early
- Agree upfront on what happens if someone skips an activity — do they still split the cost?
- Set a rough per-day budget range so nobody over- or under-spends relative to the group
- Settle up within a day or two of returning — debts get harder to collect the longer they sit
